Privacy policy

This policy covers the ReadyForm Partner Portal at partners.readyform.ai. It explains what we record about partners and applicants, why, and what you can ask us to do with it.
Who is responsible

Controller details: registered name, address, and the contact address for privacy questions. State whether a data protection officer has been appointed.
What we record
When you apply, you give us:
- your first and last name, and your email address
- your country and, if you fill it in, your phone number
- your Discord username, so we can recognise you in the partner community
- the affiliate route you chose, and your description of your audience
- your primary profile URL and any Instagram, TikTok, YouTube or LinkedIn links
- the channels you plan to use, and how you heard about the program
- the moment you accepted these terms and agreed to receive email, and which version of the terms applied
After approval we also hold:
- your referral token and promo code
- clicks, sign-ups, customers, commission and payouts linked to your referral link
- who recruited you, if you applied through another partner's link
- any support message you send us, and our reply
- the files you upload as promotional material, if you upload any
Why we hold it
- To run the partnership: your application, your dashboard, your commission and your payouts. Without this data there is no agreement to perform.
- To pay you correctly, and to keep the records tax law requires us to keep.
- To answer your support questions.
- To detect fraudulent referrals and self-referrals.
- To send you email about your application, your commission and your payouts. You agreed to this when you applied, and you can withdraw it.

Confirm the legal basis per purpose (contract, legal obligation, legitimate interest, consent) and the retention period per category. Tax law usually sets the floor for anything payout-related.
Who else processes it
We use these providers. They only process what they need for their part, and only on our instructions.

Some of these providers are based outside the European Economic Area. FirstPromoter receives your name and email address so your referral link and commission can exist at all.

Per provider outside the EEA: the transfer mechanism used (standard contractual clauses or an adequacy decision), and confirmation that a processing agreement is in place.
What we do not do
We do not sell your data, and we do not use it to build advertising profiles. The email we send you is about your own application, your own commission and your own payouts.
Your rights
You can ask us for a copy of what we hold about you, correct it, delete it, restrict what we do with it, or object. You can withdraw your consent for email at any time, without affecting anything we did before that.
Deleting your data can end the partnership, because we cannot calculate or pay commission without it. We may keep what tax law obliges us to keep.
Write to partners@readyform.ai. We reply within one month. If you are not satisfied, you can complain to your national data protection authority.
